A digital visitor register for the security gates of Mate Energy Industries Limited. It replaces the paper visitor book: guards sign visitors in and out, the system stamps the times, and the day's register is ready to search, print or send to Excel.
Everything the paper book did, with the times and the on-site list handled for you.
The guard enters the visitor's name, who or which department they are visiting, the purpose and the visitor type. Company, phone number, vehicle plate and badge number are optional. The time in is recorded automatically. If the same name is already signed in, the app asks before adding them again.
Regular visitors appear as buttons. One tap fills in their details. Typing a name that is already in the register fills in whatever is missing.
A live list shows everyone inside and how long each person has been there. People who stay longer than the set limit (8 hours by default) and anyone still signed in from an earlier day are highlighted.
Signing someone out records the time out. A short Undo appears straight after, in case of a wrong tap.
"Close all records" closes everyone still open. The app does not invent exit times: these records are marked auto-closed and are left out of the time-spent figures, so the averages stay honest.
One button opens a full-screen roll call of everyone on site, with phone numbers and badge numbers. It can be printed, and each person can be ticked off as they are accounted for.
Look up any date, search by name, company, host, vehicle or badge, and see the day's totals, average time spent and arrivals by hour. Print the register or download it as a CSV file for Excel.
A misspelt name can be fixed after sign-in. Admins can also correct the times and the status. Every corrected record carries an "Edited" marker, so the register shows what was changed.
Admins can save the whole register to a file and restore it later. A one-time import brings records across from the earlier version of this app, if it was used in the same browser.
The same app runs on a desktop computer, a tablet at the gate or a phone. The layout adjusts to the screen, and the log turns into easy-to-read cards on a phone.
Getting a name right matters at a gate. The app helps, and the guard always has the last word.
Voice recognition gives suggestions, not final answers. It works best on Chrome and Edge, needs an internet connection, and uses the browser's own speech service, so the audio goes to the browser's maker for processing. The voice buttons only appear on browsers that support it. Typing and recording a clip work everywhere, and recording works without internet.
Every person signs in with their own email and password. There are two roles.

These limits are enforced by the database as well as the screen, so a guard cannot reach older records by any route. Accounts are created and removed by an administrator, and there is no public sign-up.
The visitor's name, who they are visiting, the purpose and type of visit, and the times in and out. Company, phone number, vehicle plate and badge number are recorded only if the guard enters them. A name clip is recorded only if the guard chooses to record one.
On the gate device, so the app can work offline, and in the company's private database hosted on Supabase in Ireland (EU). Voice clips are kept in a private store and are only reachable through short-lived links for signed-in staff.
Only signed-in security staff. Guards see people currently on site and today's records. Admins see the full history. The app has no advertising and no analytics.
Name clips are deleted automatically every night once they are 30 days old. Visit records stay in the register until the company decides otherwise; there is no automatic deletion of the register itself.
Guards should tell a visitor when a name clip is being recorded and that it is deleted after 30 days. The app shows this line on screen. Mate Energy decides how long visit records are kept and is responsible for telling visitors that their details are recorded, in line with Ghana's Data Protection Act. Check retention and notice wording with the company's data protection officer.
Install it from the app page, not from this page. Set a different gate name on each device when it is first set up, and keep the device's clock correct, because times come from the device.
Nothing changes at the desk. Sign-ins and sign-outs are saved on the device and upload when the connection returns. Voice recognition is the one feature that stops, because it needs internet. Typing and recording a clip still work.
Tap Edit on their card in the On site tab and correct it. The record is then marked "Edited".
Sign them out as soon as it is noticed, or use "Close all records" at the end of the day. Because the real exit time is unknown, an admin can add it afterwards from the log.

An admin opens the Visitor log, picks a date, and taps "Download Excel (CSV)". Clear the date to download everything on the device.
